Title: Online BUSINESS / VIRTUAL ASSISTANT

I’m looking to hire an experienced virtual assistant as a subcontractor to manage my inbox, social media, and YouTube channel. I’m excited to ‘pump’ more content out this year (you’ll see why that’s a fun choice of words later on), and I’ll be able to do that by having you on board for 10 hours per week.

About the Business

We are a sexual health education & resource hub that supports men/couples struggling with sexual function changes following prostate cancer treatment. We’re all about normalising ‘touchy topics’ and reducing the stress and shame of what can be a really challenging and isolating time.

In particular, we focus on producing free, valuable, audience-centric education to help people make informed choices regarding the products and rehabilitation strategies they invest in (our main product education is about vacuum erection devices, aka - a penis pumps).

In 2023, we are going to launch my first paid online course, and create a smooth-operating content production engine.

About this Exciting Role

You will have a proactive lead role in managing all important administrative tasks that keep the business engine running behind the scenes.

In this role, you will be replying to all emails from my audience, managing my Youtube channel, drafting fortnightly newsletters, and making sure the social media gardens are seeded, watered and weeded regularly! 

My goal is to focus most of my time on customer research, reading up on the latest research, then turning key insights into videos. You are the most important piece of the puzzle to free up my energy and time so I can do that.

Your role will include:

  • Responding to emails within 24 hours (Monday to Friday), using and creating templates for responses, drawing on our library of FAQ content.  Emails require a high attention to detail, responding in a compassionate way so everyone feels safe and seen (a bit of good humour goes a long way too, all puns intended in this business).

  • Noticing new content ideas from email exchanges, pulling key words/questions into a content brainstorming section of Notion to keep the business audience-centric at it’s core.

  • Drafting a fortnightly newsletter into Convertkit. (Grammar and spelling are very important here, high attention to detail).

  • Deleting annoying spam comments in Youtube! Looking for requests for information and replying.

  • Creating thumbnails for Youtube, social images and basic images in line with branding in Canva.

  • Scheduling the content mapped out in the content planner using a scheduling platform (pushing to LinkedIn, Twitter, Facebook Page).

  • Uploading videos to Youtube to go out weekly, following and finessing the process of adding descriptions, titles, thumbnails.

  • Creating SOPs ‘System Operating Procedures’ for each of your responsibilities.

More About You

You’ll have handled an inbox before that deals with ‘sensitive’ topics. You're the type of person who gets how to do compassionate communication with a strong sense of boundaries. For example, you know how to answer a detailed emotionally driven email with care, understanding and appropriate helpfulness (but without becoming someone’s counselling service). 

You’d describe yourself as mature, someone with a lot of life experience and empathy. This is perfect for someone who gets a kick out of knowing at the end of each day they’ve truly helped someone with a challenge that is deeply important and personal. We get a lot of thank you emails from people who felt completely alone until they found our website, it’s one of the best parts of managing our communications.

You’ll be comfortable responding as yourself in the inbox, and being 'introduced' to the audience (happy for this to be as a pseudonym) as trust and a feeling of connection is a key value in the company, I want your personality to be present in communications. 

You’ve created SOPs (‘Standard Operating Procedures) before as this will be a pivotal task. One of our success metrics together will be checking whether the SOPs can successfully instruct someone brand new on how each part of the company’s admin and marketing system operates. 

You’re someone who will enjoy applying a creative growth mindset to spotting trends and unmet needs within communications. I love creating content inspired by what my audience is struggling with most, you’ll be my Chief Needs Detective!

It’s important that I can be prioritised as a client so time management and organisational skills are a must. You can decide your schedule in terms of when tasks are completed, so long as everything is scheduled on time, and all emails are answered within the appropriate timeframe.

This role is perfect for a proactive person who falls in love with creating and following a good process. We’ll know this is working when we only need to exchange the occasional voicenote because the system is so slick n streamline.
